Build your safety fileWhat a safety file is meant to prove
A safety file is the working record of how a project identifies hazards, assigns responsibilities and controls health and safety risks. It should be specific to the project, understandable to the people using it and supported by current evidence.
A neat cover and index are useful, but an audit-ready file is more than a folder of blank templates. The documents should connect to the actual scope, people, equipment and risks on site.
Core sections to check before work starts
Use the following as a starting point for a project-specific review. Client specifications and site conditions may require additional documents.
- Company and project information, including client, principal contractor and subcontractor details.
- Health and safety policy, project plan and signed contractor agreements.
- Organogram and legal appointment letters for the people responsible for site controls.
- Baseline risk assessment, task risk assessments and safe work procedures for the planned scope.
- Emergency preparedness plan, contact register, incident process and first-aid arrangements.
- Employee records covering induction, training, medical fitness and competency evidence where relevant.
- Equipment registers, inspection records, maintenance evidence and required certificates.
- Daily, weekly and task-specific registers that demonstrate the controls are being used.
How to keep the file audit-ready
Assign an owner for each section and set review dates for documents that expire. Remove superseded versions from active sections so that teams do not rely on conflicting instructions.
Link every high-risk activity to a control, a responsible person and an evidence record. A reviewer should be able to move from the risk assessment to the procedure, appointment and inspection record without searching through unrelated paperwork.
